02

Your order and this agreement

This agreement is between Digitalpharm Ltd trading as Pharmacy Mentor (company 11444197) and the business purchasing the PM Growth Managed package. Your saved itemised quote forms part of this agreement and records the websites, locations, domains, branding extras, discounts, VAT and payment amounts you have selected. The general Pharmacy Mentor terms also apply. For PM Growth orders accepting this version, these specific terms take precedence where they conflict with the general terms, including the separate GSA requirement, payment commencement, cancellation notice and legacy hosting-package allowances. Your online acceptance replaces a separate GSA for this package. Later versions do not automatically change an existing accepted order.

03

Fixed design and build scope

We build the existing Pharmacy Mentor design you select during onboarding, with its fixed layout and sitemap adapted to your logo, colours, business information, services and purchased locations. This is a managed marketing website. A bespoke design, alternative layout, additional functionality, ecommerce, prescribing, patient accounts or custom integrations require a separate agreed scope and quote. Where the service-page allowance applies, the build includes a maximum of ten services, including their primary treatments; individual treatments do not each create a separate page. Your onboarding submission records the selected design, services, booking route and locations. Any deferred design or missing scope details must be confirmed with you before the build starts.

04

Replacing an existing website

We review the current website and agree the content inventory and URL mapping before building. Where you selected the replacement route for a website with blog articles, its existing blog articles and essential pages are retained as promised in your order. Retaining content does not include a new bespoke layout or reproducing custom functionality. Requests to retain a different sitemap or a complex system need a separate discussion. We will identify any conflict with your purchased scope and agree a resolution with you before proceeding; we will not silently remove promised content.

05

Onboarding and delivery

The ten-working-day build period per website begins once our team confirms that onboarding, required information and assets, necessary access, design approval and scope are complete. Payment alone does not start the build period. We confirm your start date and explain any outstanding requirements. Missing information, delayed feedback, third-party access or agreed scope changes can move the delivery and launch dates; we will keep you informed. We use appropriate AI and development tools, with human review and testing, to deliver the agreed website.

06

Review and launch

We provide a preview for your review and include one consolidated feedback round within the agreed scope. Please send that feedback within three working days. Changes required to deliver the agreed scope and corrections to our work are included. A new design, new requirements or additional pages need a separate approved quote and may extend the timeline. We require your approval before publishing; silence is not approval. If feedback or approval is delayed, we agree a revised launch date.

07

Managed service and aftercare

Your package includes hosting, technical maintenance and up to one hour of changes to existing website content each month, per website. This covers editing existing text, replacing images, updating prices, contact details and opening hours, and removing an existing branch with its associated navigation, links and location information. Requests are handled through aftercare. The allowance is based on time, not a fixed number of requests. Corrections to website bugs and technical faults are included separately and do not use this content-change allowance. New service pages, blog posts, SEO landing pages, functionality, layout changes and design amendments require a separate agreed scope and quote. We explain the additional time and obtain your approval before undertaking chargeable work exceeding the allowance. A branch-removal request also triggers a review of any associated location subscription; removing content does not itself automatically alter billing.

08

Payment, initial term and renewals

The package has a twelve-month initial commitment. Your first payment covers the first month or year of managed service and any domains or one-off extras shown in your quote. Billing begins with the first successful service payment, before website launch, and is separate from the build start date. Monthly payments renew each month; annual payments renew every twelve months. One-off extras are not repeated. Domain renewals and any continuing discount are recorded in your saved quote. For annual billing we email a reminder thirty days before renewal. You may request cancellation by emailing help@pharmacymentor.com, including your order reference. During the initial term cancellation takes effect at its end, with the initial commitment remaining payable. After the initial term, cancellation received before the next renewal takes effect at the end of the current paid billing period. We confirm the effective date in writing. This cancellation procedure replaces the general sixty-day notice requirement for this package. Nothing in this agreement removes applicable statutory rights.

09

Content, ownership and ending the service

You retain ownership of your supplied branding, images and content and must have permission to use them. Pharmacy Mentor retains its reusable design systems and proprietary code under the general terms; the managed package does not include an outright purchase of those systems. Before the service ends, we confirm arrangements for domain access, your content and any requested migration or export. Additional migration or development work is quoted for your approval. If direct editing access, source-code handover or independent hosting is required, discuss it with us before purchasing so the appropriate scope and rights can be agreed.

10

Customer review and responsibilities

You must provide accurate business information, appropriate permissions and required access securely. Do not submit passwords or patient information through onboarding. You must approve the website's business, service and clinical information and ensure your pharmacy or clinic meets its regulatory obligations before launch. We provide a suitable technical SEO foundation within the agreed build; ongoing SEO campaigns, new SEO content and guaranteed search rankings or sales are not included. Third-party booking systems, subscriptions and transaction charges are included only where expressly stated in your quote.
