EPOS stands for electronic point of sale. In a pharmacy, it usually covers the till interface, barcode scanning, card-payment hand-off, retail stock control, pricing, purchasing and management reports. Specialist pharmacy products may also receive product and price files, support branch transfers, connect with wholesalers or ecommerce, and exchange limited information with a PMR system.
An EPOS is not automatically a PMR. A pharmacy PMR system supports dispensing and patient medication records; an EPOS primarily supports retail transactions and commercial operations. An integrated product can reduce duplicated work, but the word “integrated” is too vague for procurement. Ask the supplier to show the exact fields, status updates and user actions that pass between systems.

- Which PMR products and versions integrate today, and can you demonstrate the connection?
- Which data moves between the PMR and EPOS, in which direction and how quickly?
- Which wholesaler, product and price files are included, and how are exceptions handled?
- Can the system manage stock across counter sales, ecommerce, returns, transfers and stocktakes?
- What is the source of truth when online and in-store stock disagree?
- Which functions continue during loss of broadband, cloud service or payment connectivity?
- How are queued transactions reconciled when service returns?
- What permissions exist for discounts, refunds, voids, price changes and reports?
- Are user and administrator actions recorded in a searchable audit log?
- How are security updates deployed, and how long is hardware and software supported?
- Who can access the system remotely, how is access approved and how is it logged?
- What backups exist, where are they held and when was recovery last tested?

How to compare total cost of ownership
Do not compare a monthly software licence with a bundled hardware-and-support quote. Put every supplier into the same three- or five-year cost model. Include terminals, scanners, printers, customer displays, payment devices, installation, configuration, product data, user and branch licences, training, support tiers, integrations, API access, ecommerce work, replacement hardware, annual increases and exit support.
Then model operational cost. A cheaper system can become expensive if stock updates require manual work, reports cannot be exported, ecommerce stock drifts or an outage stops trading. Equally, paying for multi-branch, loyalty or advanced reporting functions adds no value if the pharmacy will not use them.
EPOS data, receipts and marketing consent
An emailed receipt can improve convenience, but collecting an address for a receipt does not automatically permit marketing. Send the same script to every shortlisted supplier before the demonstration. Use representative products and let the pharmacy team operate the system rather than watching a prepared presentation.
- Sell a mixed basket, apply a permitted promotion and complete an integrated card payment.
- Process a return, void and supervisor-approved price change, then find each action in the audit log.
- Receive stock, amend a discrepancy, transfer an item and complete a partial stocktake.
- Change an online product price and stock quantity, then measure when both channels update.
- Find a PMR or service status from the counter if that integration is being sold.
- Disconnect the internet and repeat the agreed critical transactions.
